POSITION DETAILS

  • Full-time (option to be part-time, if needed)

  • 36-40 hr/wk

  • Office hours: 9-5 pm M-Th 

  • $15/hr

The WoW Office Assistant welcomes clients to the office and is the "face" of Women of the World. Their responsibilities are to assist the Office Manager and Executive Staff members with administrative needs. While their role is not as a Case Manager, the Office Assistant will interact with Case Managers, helping to arrange appointments and provide follow-ups. Women of the World is a second home for many of our clients and the Office Assistant is a vital part of producing that environment. 

As a staff member, we expect the Office Assistant to contribute to supporting our ladies and fulfilling our three programs. Customized advocacy builds women-to-women networks that empower English education, economic development, and/or human rights for Utah’s refugee women and their families.  Women-to-women networks offer a safe place to build friendships supported by conservative cultures upset by post-traumatic stress disorders (PTSD) while empowering important gender-based, socio-economic skills that are largely under-realized by refugee women.

RESPONSIBILITIES

  • Be the “face” of Women of the World by greeting clients as they come for appointments and assisting them in making appointments, if necessary.

  • Maintain office calendar (5 staff)

  • Answers phone, assists in coordinating meetings and meeting arrangements, maintains and updates contacts, maintains electronic files including client data, takes dictation

  • Help coordinate events and tasks including community events

  • Oversee class volunteers and attendees

  • Basic data entry

  • Coordinate social media calendar and content creation with Office Manager

  • Assist in implementing COVID-19 protocols, develop educational materials, and provide basic education to clients in coordination with Case Managers and Office Manager

  • Assist Office Manager with a monthly newsletter

  • Assisting Office Manager with programmatic special projects (testing computers for digital literacy classes, sorting donations, updating events calendars, etc.)

REQUIRED QUALIFICATIONS

  • At least 18 years of age

  • Sensitivity to the needs of diverse cultural communities

  • Excellent interpersonal skills, well-organized, and dependable.

  • Strong general office skills, computer skills, and administrative experience including proficiency in Microsoft Office (Word; Excel; PowerPoint) required. Experience working with Dropbox file system, Google Suite, and Salesforce preferred.

  • Ability to meet deadlines while managing multiple projects.

  • Ability to work both independently and in a team.

  • A strong entrepreneurial spirit to define and execute what is needed.

  • Accuracy and attention to detail are essential.

  • Exceptional writing and ability to compose communication while capturing the ideas with some guidance necessary. Position requires getting the gist of the message and conveying it.

  • Mission-driven: a desire to be part of a service to something bigger than yourself.

PREFERRED QUALIFICATIONS

  • 2-3 years of administrative experience

  • Exposure or experience working with ESL students/clients

  • Experience working with diverse populations and refugee social service programs

  • Experience with Salesforce, or other client-based databases
